Brokers dial a list that was built for them.
Call lists come out of the CRM on a schedule you set. Each owner arrives with the ownership history, the property facts and the last conversation already on screen. What happens on the call goes back to the record when the broker hangs up.
What a prepared call desk looks like.
The list is ready when the broker is
Lists build from the criteria the desk works, refresh on a schedule and load into the dialer. A broker sits down to a queue that is already current.
Background on screen before the dial
Ownership history, parcel and property facts, prior conversations and the reason this name surfaced today, all on the card.
The record keeps up
Disposition, notes and next steps post back to the CRM as the call ends, and the follow up is scheduled from what was said.
What a dialer build includes.
- Dialer selected and provisioned on your own numbers
- Call lists built from CRM criteria and refreshed on a schedule
- Owner and property background assembled for every record on the list
- Local presence and caller ID configured for the markets you work
- Dispositions, notes and next steps written back to the CRM
- Follow up tasks and sequences triggered from the call outcome
- Connect rate, contact rate and outcome reporting by broker and by list
- Written call procedures and a recorded walkthrough for the desk
Four moves to a running call desk.
Scope
We agree the criteria that define a list, the markets in play and who on the desk owns which segment.
Build
The dialer is provisioned on your numbers and wired to the CRM in both directions.
Load
The first lists build, the background assembly runs against them, and the desk works a pilot week.
Run
Lists refresh on schedule, reporting goes out weekly, and the criteria get tuned against what is actually connecting.
What call desks ask before we start.
Which dialer do you use?
We have run this on Terrakotta and on the dialer built into the CRM. The choice follows how many seats you have and whether you need local presence.
Does the AI talk to people?
No. A person makes every call. The AI builds the list, assembles the background and writes the record afterwards.
How do you handle calling compliance?
Your firm sets the calling policy and we build the list rules to match it, including do not call scrubbing before a list loads, calling windows in the contact's own time zone, and consent and revocation recorded on the contact.
Who owns the numbers and the recordings?
You do. The dialer account, the phone numbers, the recordings and the data are in the firm's name and exportable in full.
